What gets billed

Your data has a tier limit.

Every tier caps the number of records, the API calls and the storage. Above the cap, you pay more.

This is not vendor ill will — it is how rented software is billed. But it does mean that how many of your own customers you may keep is a line on an invoice.

Where it breaks

Not on features. On that one field.

A boxed CRM handles a lead, a quote and a deal. The trouble arrives at the one step you do differently from everyone else — the calculation, the approval, the link to production.

Then there are two options: bend the company to the software, or keep that step in a spreadsheet beside the CRM. Both cost more than the invoice shows.

A per-seat licence is not a cost you pay. It is a cost you keep paying every month, for every new hire, for as long as the company runs.

How to decide

It is not about feature counts, but about whose process it is.

Five things decide it: whether the process fits the tier's fields, whether other systems need two-way links, how fast the team grows, whether you need calculations of your own, and where the data should live.

If none of them matter to you, a boxed CRM is the cheaper and faster choice, and we will tell you so.

When a boxed CRM is enough
  • A sales team under ten people with a standard process.
  • You need to start within a month and have no capacity for a project.
  • You are happy with how the vendor models a lead, a quote and a deal.
  • You need no link to production, stock or calculations of your own.
When custom pays off
  • Your process does not fit the fields the tier offers.
  • The CRM has to talk to production, stock or accounting both ways.
  • You are growing, and a per-seat licence grows with you.
  • You need calculations or logic a boxed product does not have.
  • The data should stay with you, with no cap on record count.

If you recognised yourself on the left, say so on the call. Recommending a boxed product is cheaper and faster advice than building something that already exists.

Common questions

Is Raynet a bad CRM?

No. It is an established product with good regional support, and for a great many companies it is the sensible choice. This page does not compare quality — it compares models. A boxed CRM means a fast start and the vendor's process; a custom CRM means the opposite trade.

When does custom development pay for itself?

It depends on team size and on how much work happens outside the CRM today. For a small team with a standard process it does not, and we will recommend the boxed product. For a growing team where the per-seat licence grows with you and the key step runs in a spreadsheet anyway, it turns over sooner than people expect.

Can Raynet not be customised?

It can, within what the tier offers — custom fields, automations, an API. The limit is where the data model itself would have to change, or where the logic simply is not in the product. Where that limit sits, you find out reliably only in practice, which is the most expensive way to learn it.

What about migrating data if we already use Raynet?

Routine. Data exports and moves across with its history; the harder part is deciding what to bring and what has become noise over the years. We always recommend running both systems in parallel during the switch.

How long does a custom CRM take to build?

We usually put a usable first version in front of people in months, not weeks — and deliberately before everything is finished, so it can be tuned against real work. Anyone promising a finished custom CRM in a fortnight is selling a boxed product.
