CRM

Customer relationship system

CRM (Customer Relationship Management) is software for managing relationships with customers. In one place it stores contacts, communication history, sales opportunities, and open tasks. As a result, sales, marketing, and support share the same overview, and no customer or inquiry slips through the cracks.

How CRM works

A CRM works as a central database of everything you know about a customer. For each contact it captures who reached out, what they ordered, when you last spoke, and which stage of the deal they are in. Instead of scattered emails, spreadsheets, and notes in salespeople’s heads, you get a single source of truth.

Around this data the system builds processes. It moves a deal through the stages of the sales funnel, reminds you of deadlines, sends emails automatically, and measures how many inquiries turn into orders. The manager sees team performance; the salesperson sees their tasks for today.

What a CRM is for

The biggest benefit of a CRM is that nothing falls through the cracks. When a salesperson leaves or goes on holiday, the customer history stays in the company and a colleague picks up smoothly. The data also tells you which campaigns bring real orders and where deals get stuck.

  • Contacts and the full communication history in one place.
  • Managing sales opportunities through the stages of the funnel.
  • Automatic reminders, tasks, and follow-up emails.
  • Reports on sales performance, lead sources, and win rates.

Off-the-shelf CRM versus a custom build

Ready-made CRM tools deploy quickly and are plenty to start with. But once you have a specific process, integrations with your warehouse or accounting, or you pay for dozens of users, a custom CRM often pays off. It fits exactly how the company really works and connects to the rest of your systems.

Frequently asked questions

Which companies need a CRM?

It makes sense whenever you have more customers than you can keep in your head and more than one person talking to them. Even with a small team it stops inquiries from slipping away and saves you from asking colleagues every time a customer has a question.

What is the difference between CRM and ERP?

A CRM focuses on the customer, sales, and outward-facing relationships. An ERP runs the internal side of the business: finance, inventory, production, and logistics. In practice the two are often connected so sales and operations exchange data.

When is a custom CRM worth it over a ready-made tool?

When the off-the-shelf option limits your processes, you pay high license fees for many users, or you need a solid integration with other systems. A custom solution mirrors how you actually work and grows with the company.
